Tai Calon was established in 2010 as a not-for-profit housing association, with almost 6,000 homes we are the largest provider of affordable homes in Blaenau Gwent. Your Knowledge, Experience and Qualifications:

You will also need to have the following knowledge, experience and qualifications

  • Educated to degree level (or in the process of studying for a degree) OR qualified by experience through having undertaken similar roles.
  • Experience of undertaking research, analysing numerical data, and summarising findings
  • Experience in using Word & PowerPoint to produce professional reports and presentations.
  • Experience of Excel.

What you’ll be doing:

You will work closely with our Chief Executive and Executive Directors, in a high-profile and confidential environment, to support the successful delivery of our Vision, Mission, and CALON Values detailed within our corporate plan.

As an Executive Assistant, you will be a key point of contact for internal and external partners, and you will play an important role in coordinating meetings, events and various day-to-day activities, to ensure deadlines are met.

This is an exciting and varied role, where you will take ownership in

  • Being a point of contact for all relevant stakeholders, and dealing with enquiries, arranging meetings, and/or preparing correspondence if required.
  • Ensuring key contacts are kept in regular contact to ensure ongoing positive stakeholder engagement.
  • Undertaking research and collating findings to inform the development of ideas that support the delivery of the Mission within the Corporate Plan.
  • Project managing the Chief Executive projects.
  • Responsibility for events arrangements as required by the Chief Executive and Governance Manager (i.e. scheme openings, board stock tours, externally hosted meetings and events, board away day).
  • Being a key member of the governance team, provide support to the Governance Manager with research, and administration of governance processes (will include but not limited to collating and drafting of board and committee papers, decision time posting, minute taking, administration of board/committee appraisals, tenant elections, board recruitment, monitoring of Welsh Government data returns and maintaining the library of policies and procedures)
  • Depusiting for the Governance Manager and maintaining close working relationships with Board and Committee Members.
  • Arranging, collating, and ensuring the timely presentation of reports for the fortnightly Executive Team meetings, and then ensuring accurate minutes and matter-arising reports are prepared.
  • Keeping a general awareness of issues, atmosphere, morale etc. within the organisation and report any concerns to the Chief Executive.
  • Responsibility for the management of all budgets within the Chief Executive office.
  • Acting as the main point of contact for customer complaints that have been raised to the Chief Executive.

Working Pattern:

As an Executive Assistant, you will work 37 hours per week.

Your working pattern will be Monday to Friday (9:00 am to 5:00 pm), you will also be eligible for our Flexi Time scheme. The role will require occasional flexibility around working hours, to support meetings in the evenings, such as Board meetings.
